What we are looking for :
As part of our rapid growth in the EMEA region, we are looking for a Document Controller that is a highly skilled and motivated individual.
The role will provide a service to effectively support activities related to GHD’s Information Management Framework, provide oversight to ensure accurate deliverables (documents, data and models) management and assist in ensuring quality aspects of information management are maintained.
The role is responsible for (but not limited to) the following :
Establish and maintain an efficient project-related document control system
Provide ongoing training to ensure project key stakeholders understand the document control processes and expectations
Perform quality assurance reviews of the system and lead resolution of all document control problems, issues and ideas for improvement
Build effective relationships with all project stakeholders and maintain relationships across the OC
Maintain register of awarded contracts and contact details
Expedite the review and approval of documentation including engineering documents, drawings, vendor data and procedures
Plan, supervise and record document flow to and from all project stakeholders
Record and issue all incoming and outgoing correspondence, contractual notices and emails as required
Issue transmittals and receipts concerning the documents in circulation
Provide updates to the Lead Document Controller as required regarding the general running of projects
File and archive project records
Assist the Lead Document Controller with training Document Controllers as required
Perform all or part of the duties of the Lead Document Controller as required
Ability to work in a pressurised and deadline-driven environment.
Organised with excellent time management skills, demonstrable ability to manage multiple activities simultaneously.
Good verbal and written skills, an ability to communicate professionally with colleagues at all levels of the business, nationally and internationally.
Meticulous attention to detail combined with a good (aesthetic) eye to maintain high standards.
A creative and inventive thinker, who seeks a challenge and is not afraid to work outside their comfort zone.
Proven ability to work autonomously and as part of a team with strong relationship-building skills.
Skills, knowledge & experience.
Demonstrable experience in a Document Control department (and / or professional Administration team)
Demonstrable knowledge and experience of operating IT systems, i.e. Microsoft Word, Excel and PowerPoint skills
Demonstrable knowledge of Electronic Document Management Systems such as ProjectWise, BIM 360, MS Teams and SharePoint etc.
Ability to manage and build relationship with diverse stakeholders
Experience of Engineering consultancy in the Construction industry (Familiarity with our market sectors : water, energy and resources, environment, property and buildings, and transportation).
Excellent communication skills with a high standard of written English.
A keen eye for detail and the ability to proofread your own work and that of others.
Basic InDesign skills is desirable but no essential as training can be provided
Experience applying ISO 19650 (or BS1192) Information Management procedures on projects is desirable but not essential
