The main purpose of this role is to manage the provision of performance data and information through the collation, validation and interpretation of FM data and management information across the account, with delivering the monthly reporting duties as set out in the contract.
Delivering high quality and clear analysis from the data and information generated centrally and at each contract, the post holder will provide the evidence base required to assess, improve and report on FM services in line with the contractual requirements.
Whilst reporting to the Key Account Manager.
Responsible for processing invoices received from site in timely and professional manner.
Act as a trusted, visible and accessible point of contact to the operations.
Provide financial support and insight into business profitability to drive future performance.
Accountable for the accuracy of financial records, compliance and forecasts that are produced.
Develop customer relations to support successful financial negotiations.
Report and monitor KPI management information and data from both a strategic and site based perspective and advise the General Managers, Operations Managers, Service Managers on the performance of their sites ensuing that the they are compliant with the performance outputs of the contract.
Be the subject matter expert for all performance and KPI related outputs, including holding forums and workshops and training General Managers, Operations Managers, Service Managers on what is required of them on a daily, weekly, monthly, quarterly and annual basis.
Be the gateway keeper for the online performance reporting platform / dashboard (Insight), liaising with all key stakeholder including the IT team to ensure that the Insight system is kept up to date, is user friendly and allows the onsite teams to effectively monitor their own performance.
To develop and maintain central validation systems to ensure submission of performance data is accurate and timely.
Identify areas within the contract that require performance improvements and implement plans and processes, in liaison with General Managers, Operations Managers, and Service Managers to ensure improvement is achieved.
Lead the month end management information and data collation process, working closely with all key stakeholders to ensure the timely upload of all performance management data on to the Insight system.
Produce the month end client report, both site specific and general report encompassing both sites.
To identify and communicate good practice for improving and sustaining high levels of data quality and service performance.
Work closely with the Key Accounts Manager and the wider team to ensure timely and accurate strategic level reporting to the various stakeholders.
Responsible for statutory and legislative compliance across the contract and for bringing this to the attention of the key stakeholders.
Re-engineer business processes to maximise the profitable operation of the contract focusing on analysing internal management information.
Understand and comply with all relevant current legislation as set out in Company and Trust policies and procedures and related documentation, including the Employee Terms and Conditions Handbook, Employee Health, Safety and Environmental Handbook and Security procedures.
Ensure confidentiality, privacy and dignity is maintained at all times in accordance with GDPR and in line with Company and Trust policy, where appropriate.
Monitor contract based ISS internal business systems and ensuring compliance with the systems (as defined and measured by formal ISS central audits).
Create, maintain and enhance effective working relationships with all major stakeholders.
Participate, as required, in regular team meetings, performance reviews, job chats, return to work discussions and accident and other investigations.
Engage in the process to identify your own personal development and training needs and attend agreed training programmes.
Drive contractual uplifts to support the business.
Any other duties as may be reasonably requested within the post.
Professional and personal competencies / qualifications
Working knowledge and understanding of Word, Excel, PowerPoint.
University Degree (preferably in FM but not essential).
Previous experience working within FM.
Previous experience working within a healthcare environment (preferable but not essential).
Previous experience of report writing.
Previous experience of managing and reviewing management information.
Previous experience of data analysis.
