Legal Secretary

Full time, permanent role (Monday - Friday 09.30 - 5.30 pm)

Working remotely at present - office based in future

The Role

Legal Secretary position to support fee earners within the insurance group. The role will suit someone who can handle busy workloads very well, can work autonomously, and is not easily phased!

Your key duties will include :

  • Diary management of fee earners as required, using initiative to arrange meetings and conference calls
  • Checking of fee-earner emails as required in their absence and responding where required
  • Booking video / conference calls, meeting rooms and required refreshments, making lunch / dinner reservations
  • Making simple travel arrangements including booking train tickets and collating itineraries
  • Managing workflows, reprographics etc, amending and formatting agreements / documents, short pieces of copy typing and digital dictation as required, carrying out Word to PDF conversions and vice versa
  • Collating all indexing on legal documentation and setting up files, producing PowerPoint presentations, proof reading of all documents to ensure the delivery of work of the highest quality
  • Processing expenses
  • Ideal Candidate

  • Previous experience working within a busy corporate environment is essential - ideally legal secretarial, or other professional services secretarial / PA
  • Outstanding client care skills - the ability to deal with queries from internal and external clients in a professional and polite manner
  • Excellent organisational skills - the ability to take responsibility for own tasks and prioritise work in a calm and efficient manner
  • Demonstrate proactivity and the ability to work on own initiative, able to work to very tight deadlines, anticipate needs in advance
  • Highly developed communication skills - the ability to communicate in a confident and professional manner with people across all levels of the business
  • Demonstrate flexibility / adaptability in meeting internal / external clients' demands
  • Reliable with a strong work ethic and a can do approach
  • You will need to have high levels of IT literacy in Microsoft Word, Outlook, Excel and PowerPoint as well as highly developed administrative skills
