Thesuccessful candidate will be responsible for providing support to the ExecutiveAssistant and Global CEO Office.

Duties willinclude but not be limited to :

Travel management including visa applications, bookingaccommodation, flights, transfers, restaurants

Preparing overseas itineraries including issuing boardingpasses, booking taxis in London and overseas

Booking meeting rooms and arranging meeting logisticsincluding coordinating visitors, arranging refreshments, assisting withdialling in to calls, connecting video conferences

Checking attendance for regular committee meetings

Compiling and printing meeting packs (agenda,biographies, Board papers, briefing notes, etc)

Making sure Exec Whereabouts for the ExCo Team areupdated on a weekly basis

Managing expense forms and invoice processing

Populating and maintaining the CEO’s contact list andproactively updating mailing lists and contact databases

Responding to telephone queries in anefficient and professional manner and taking accurate messages

Provision of holiday and Wednesday officecover for the EA to Global CEO

Telephone cover for the London-based Exec team

Event management e.g. quarterly Townhall : coordinatinginternational venues, and ensuring prior logistic test are carried out forsatisfactory sound / visio quality

Occasional typing of presentations, speeches and letters

Performing general administrative tasks, e.g. faxing,printing, photocopying, stationery and business cards ordering, courierbooking, post distribution etc.

Liaising with Office Manager for facilities relatedissues

Occasional support for overseas direct reports of theGlobal CEO when visiting the London office

Any other ad hoc duties as required

Excellentorganisation skills with proven experience of staying calm under pressure

Previoussecretarial experience required, ideally in financial services environment
