As part of the Logistics team, the daily responsibilities of the Logistics Co-Ordinator will be to focus as a key player in the order management process.

Liaising with the Elekta Business Units / PSCs / ELP to maintain and support the order fulfillment process. This will include the review of the customer / distribution orders within M3.

The process of order management and order communication, will be key to keep all Elekta customers informed regarding their order status.

Continuous co ordination with the Planners, who are responsible for the material planning will be key to assure 100% delivery performance of Elekta’s products.

Arrange and co ordinate the shipping and import / export of the orders, this includes the full coordination with freight providers and the generation / distribution of import / export documentation leading to the final despatch and invoicing to Customers or Business Units.

Responsible for review letters of credit for compliance and timely presentation of documentation to the bank when necessary.

RESPONSIBILITIES - (Using e.g. bullet points, identify the detailed aspects and specific responsibilities of the role.

  • Receive all orders from Elekta Business Units, and assist with the project management and invoicing from status R1 - R3 & R5, of the order fulfillment process.
  • Responsible for reviewing letters of credits to ensure Elekta can comply with all requirements. Ensure all amendments are made.
  • Timely presentation of all documents to the Bank.

  • Responsible for producing Brief packs (create licenses) when applicable
  • Generate of DHR when necessary.
  • Receive all orders from PSCs / ELP and manage shipments accordingly where applicable.
  • Responsible for populating import / export documentation and labels using defined process.
  • Book transportation using defined methods.
  • CLM Cases : Responsible for investigating cases.
  • Arrange shipment of necessary tooling and equipment when applicable (Co60, Loading Machines, Tooling kits, etc .)
  • Maintain the relevant business systems with project / order and shipment updates.
  • To be actively involved in improvement opportunities throughout the department.
  • To maintain good communications with forwarding agents relating to the shipment of goods and to keep customers informed.
  • Escalation of any risks relating to customer / distribution orders.
  • Responsible as an Import / Export Officer for appropriate legal entity.
  • Manage the import / export (returns and repairs) of materials and / or customs e-book to ensure on-time delivery where applicable.
