Position Summary

This position will be supporting the VP’s with diary management and travel schedules, as well as with administration duties across the department.

This role will be responsible for the upkeep of holiday / sick records for both permanent and CW staff. As with any PA & Team Coordinator position, the roles supported by the PA may change from time to time and require a flexible can do’ approach.

Responsibilities

Diary management, coordinating and arranging internal and external meetings, room bookings / video conferences, and conference calls.

Keeping all team holiday / sick records up to date Booking international travel for business trips and liaising with other local Discovery offices Devising itineraries for overseas trips and events, for both the VPs, and any guests or freelancers travelling or providing services on behalf of Discovery Supporting VPs Senior Execs when travelling to London and working with their PAs to provide full support and assistance when requested Processing and managing VPs expenses Assisting with PowerPoint / Keynote Decks and presentations when requested Assisting with IT requests for new starters Assisting with Desks / Furniture requests for new starters Updating Org charts accordingly Manage and keep updated Media / Comms subscriptions Taking meeting minutes when requested and distributing accordingly Assisting with confidential Project documentation as requested Raising POs and tracking invoices Occasionally assisting VPs with errands, and attending meetings on their behalf Provide cover to other PAs during holiday periods Other duties as required.

Requirements

I.T. skills : intermediate Excel, Word and PowerPoint skills essential. Excellent organisational / administrative skills.

Diligent, accurate, methodical with a good eye for detail. Independent self starter who can work unsupervised, proactive.

Remains calm under pressure. Flexibility in accepting new and changing responsibilities, as well as strong personal initiative and resourcefulness.

Take ownership of, and accountability for, responsibilities. Self-starter. Excellent people and interpersonal skills, good team player.

Flexibility and ability to adapt to different demands on short notice. High levels of initiative, motivation and time management.

Experience in dealing with senior executive personnel. Discretion, professional and personable attitude at all levels. To be adaptable, committed and commercially aware.

Able to cope with a fast-paced and demanding work environment. Experience and enthusiasm for the TV Industry or a related industry an advantage.

Ability to gain consensus, communicate policy, build relationships and create systems for managing data needed to perform above responsibilities in a timely, effective and cost-
