About the Role
The role will involve pro-actively and comprehensively supporting with all office requirements such as building management, room bookings, hospitality and additional support, to the CEO of Leasing, wider Executive team and Operations Manager of the Close Leasing Business.
Ensure the efficient and smooth running of all aspects of the CEO’s office and wider Leasing business.
Provide effective diary management, arranging meetings / dinners as required and booking meeting rooms / venues
Support Meetings where required and take minutes throughout.
Act as the first point of contact for the CEO of Leasing and wider Leasing Business, gate-keeping and screening calls and emails.
Ensure meeting papers are acquired in good time prior to meetings and given to the CEO for meeting preparation. Keep track of documents relating to multiple projects and ensuring they are readily available when required.
Process expenses and other ad-hoc administrative tasks in a timely manner
Coordinating domestic and UK travel, including flight, hotel, and car rental reservations. Handle travel arrangements and generate personalised itineraries.
Support the various people initiatives sponsored by the CEO e.g. events, and producing slide packs as required for Board meetings and Divisional Management Meetings
Building Management, purchasing office supplies and equipment when required.Supporting and working closely with the Operations Manager to ensure smooth running of the office.
Dealing with Correspondence, creating presentations and other management-level reports
Implementing and maintaining procedures / office administrative systems
Assist with the on-boarding process of new starters by working with Recruitment / HR arranging induction for new employees, raising the correct correspondence in a timely manner, requesting IT supplies etc.
Ensuring that health and safety policies are up to date
Acting as first point of contact for any visitors, assist in arranging interviews where required.
Maintain clear, systematic and user-friendly hard-copy and electronic filing systems
Assisting in the co-ordination of fundraising events and charitable initiatives
Flexibility to take on additional responsibilities when required
Provide cover and support to other members of the Leasing Executive Committee as required
Provide administrative support with local and group-wide Asset and Leasing initiatives.
Risk & Compliance
Ensure that all Governance and Compliance requirements are adhered to and all reporting and reviewing activities required by the Regulatory Bodies are carried out to the standards required.
Management of risk logs, including actively following up outstanding actions
Root cause analysis of risk events, partnering with Operational colleagues to ensure actions are taken to prevent recurrence
Previous experience in an Office Managerial or similar supporting role.
Demonstrable experience of providing proactive and professional support in an ever-changing environment to senior leaders and wider team.
Advanced MS Office skills
MS Outlook experience with the ability to manager conflicting diaries and changing priorities.
Excellent written communication skills including proof-reading skills
Good commercial awareness
Confidential and discrete; experience of handling sensitive issues
Excellent attention to detail
Experience within the Financial Services industry
Education & Qualifications
Educated to A-Level or Equivalent
