This role provides superb executive administrative support to the Global Pet Nutrition CFO (and the team) and overall support on project administration.

The incumbent must have excellent organisational skills, be able to make sound judgements and decisions when required, provide solutions to key issues which arise, and have the ability to effectively collaborate with senior leaders and peers.

What are we looking for?

  • Previous experience in large FMCG, matrixed organization is desired.
  • Previous experience of providing administrative support and co-ordinating events is desired, ideally working with / for senior leaders / international associates.
  • This role requires a high degree of independence and motivation to prioritise workload as well as the resilience and ability to manage at high pace while remaining calm under pressure.
  • The job-holder must be an excellent communicator both written and verbally and have a desire to proactively make continuous improvements.
  • The job-holder must bring effective event management experience.
  • Candidates are required to have functional / technical proficiency in Microsoft Office & Outlook. In addition, expertise in using conference call technology, VC - Polycom, Sharepoint, Microsoft Teams and managing Teams Sharepoints.
  • What would be your key responsibilities?

  • Excellent at dealing with highly sensitive and confidential information showing very high Integrity & Trust and ability to work discretely in an open office environment.
  • Act as gatekeeper for any requests, calls or meetings both internally and externally.
  • Project Management with expertise in supporting projects and agendas of multiple senior leaders.
  • Provide exceptional administrative support to the team. This will include pro-active diary management, anticipating events and deciding upon action required, acting upon key requests and resolving issues as they arise.
  • Influence and drive the effectiveness of the finance teams. This will include developing, deploying and pro-actively leading the regional meetings, summits and agenda, highlighting conflicts, resolving issues and making recommendations as they arise.
  • Decide, plan & execute complex, detailed domestic and international travel itineraries including all transportation, lodging;
  • obtaining all necessary visas and travel documents by working together with the company travel agent.

  • Actively manage / maintain electronic calendars and arrange telephone / video / telepresence conferences, meetings, and other appointments across multiple time zones.
  • Locate, organize and process all travel expenses using appropriate systems and ensure governance of approval and submission.
  • Responsibility for raising POs using the corporate systems and ensuring suppliers are paid on time.
  • Plan other management events during the year including contracting hotels, ground transportation, meeting facilities, caterers, restaurants, etc.
  • Support the organisation of site activities, including Global Meetings and VIP visits.
  • Provide intelligent point of contact for VP’s direct reports, stakeholders and key external contacts.
  • Liaise & network with other business administrators to learn and implement best practice.
