Job objectives and responsibilities
To ensure work is carried out to the highest standard and produced correctly within the agreed deadline.
To give excellent customer service to all our customers within the reprographics department.
Maintain a proactive relationship with our customers ensuring queries and issues are dealt with in a timely and professional manner.
To keep your line manager informed at all times with regards to any operational issues.
Responsibilty for managing the Reprographics evening Shift along with the shift supervisors as well as the wider operator team as needed on behalf of Hogan Lovells
To plan and develop reprographics and printing services in line with the changing requirements of our client.
To provide a reprographics and printing service across Hogan Lovells LLP to a consistently high standard.
To debutise for the Reprographics Supervisor when the Supervisor is on leave or unavailable.
To develop a range of policies and documentation to support the services provided within the reprographics department, including publicity material and to monitor services against an agreed set of Service Level Agreements.
To develop a strong internal customer base and manage the balance between external and internal printing requirements.
To supervise the effective operation of the service, including the costing of the printing jobs coming into the Reprographics department, the flow of work and the meeting of deadlines.
To provide first aid cover for your team (training to be supplied).
Weekly / Monthly data templates to be supplied in excel to report on operator performance and any actions that may be required to improve on performance.
To report on operator productivity and succession planning.
To provide advice on client requests, ensuring that work produced is created in line with Hogan Lovells LLP house styles.
To liaise with key staff internally, particularly the purchasing department over printing supplies and to liaise with external suppliers in order to provide the most effective use of resources.
To maintain stock levels, to ensure operational efficiency. Inventories of all stock are kept up to date.
To assist users with all aspects of their printing requirements and to write a full report within 24 hours on customer complaints which is to include the reasons for the complaint, actions taken, solution, outcome, communication and any adjustments that may be required.
To ensure that the service complies with legal requirements in relation to copyright, advising users and keeping up to date with changes in the law.
To keep up to date with changes in relevant new technology related to document management, including printing, scanning and associated services.
To train or assist with the training of the operators on the team.
To participate in the Annual Performance and Development Review Process.
To attend training workshops and courses identified as appropriate.
To contribute to the development and / or review of site procedures.
To work within the requirements of the Health and Safety at Work Act. The post holder has a legal duty to take reasonable care for health and safety of both themselves and others who may be affected by their actions, this includes the requirement to undertake health and safety training.
To undertake other duties not specifically stated above, which from time to time are necessary for the effective performance of the department without altering the nature or level of responsibility involved.

Computer literate in the areas of Microsoft Word, Excel and Outlook
Ability to multi task, work well under pressure to deadlines and use own initiative
Strong written and verbal communication style and ability to flex style to meet needs to different business units
A strong background in Reprographics
Knowledge of Xerox devices and Fiery
Ideally knowledge of DocBuster
Ideally knowledge of Watkiss devises or other saddle stitch and booklet making equipment
Flexible, adaptable approach to workload
