Job Purpose

We are currently recruiting for a Commercial Analyst based at our flagship office in Birmingham. Your will be required to assist the Assistant Commercial Manager, Commercial Management, contract support staff and Central Commercial teams in providing the drive, analysis, processes and information to deliver the budgeted financial performance of the contract.

The Commercial Analyst will ensure contractual commitments are met with maximising revenue and profit margin on the contract.

Provide a technical review, administer and value all contract change variations accurately, correctly and agreeing with the client for payment as per NEC3 TSC via Early Warning Notice and Compensation Events.

Along with seeking contractual opportunities to the best advantage of IFM. Assist with providing cost analysis reporting and SLA KPI mitigation including negotiating with the client where appropriate, and general ad-

hoc duties expected of a Commercial Analyst.


  • Ensure contract change registers and mailboxes for Early Warning Notice, Compensation Events and contract changes are updated and administered in a timely manner.
  • Be the point of contact in the valuation and submission of contract Early Warning Notices, Compensation Events and contract changes, maximising both revenue and profit margin.
  • Work with contract management to ensure contract amendments are applied in a timely and accurate manner in agreement with the customer.
  • Update each contract service matrix, data packs and service information with relation to agreed contract changes.
  • Provide and issue contract change notifications to the Management and Operational teams on agreed Compensation Events, contract changes and service matrix updates.
  • Assist Commercial Management in preparation of internal and external reporting.
  • Ensure process is followed to ensure Purchase and Sub Contract Orders are processed efficiently.
  • Identification and valuation of chargeable work orders and services.
  • Ensure payment is received in line with the contract agreement and that any queries which are withholding payment are promptly responded to.
  • Liaising with Operations in the raising of Sub Contract orders, and the administration of Sub Contractors, including checking and approval of valuations and invoices.
  • Working closely with the IFM Help Desk to ensure contractual requirements are met, along with reactive and remedial works are in compliance with the Contract.
  • Support Area FM Managers in resolving of supplier / Sub Contract issues effectively.
  • Collate supporting detail to data for monitoring and review monthly individual KPI performance measures.
  • Provide mitigation to individual failed tasks, and being able to negotiate outcome.
  • Ensure individual work streams are provided with updates to their monthly performance and resulting financial penalty impacts, by providing trend analysis.
  • Create and supply internal and sub-contract performance results following KPI review.
  • Ensure the Commercial teams are liaising closely with Operations, Planned Maintenance, Helpdesk and Client teams to ensure Commercial contract requirements are being met.
  • Along with resolving Supply Chain issues effectively.

  • Full understanding of Contractual information to minimise KPI financial penalties and maximise billing, create analysis reports, with advising and supporting operational and administration teams.
  • Report on internal and external resources that may affect Commercial obligations and performance.
  • Full understanding of NEC3 Term Service Contract including contract Service Information.
  • Contract Management To assist in the development of the Contract by attending monthly and periodic contract review meetings, with ensuring compliance with contract terms.
  • Work with the contract Operational and Commercial Management teams to develop systems to monitor contract performance.
  • Understand Work In Progress (WIP), create and provide regular WIP reports, keeping WIP for the contract at a minimum at all times.
  • Prioritisation is essential as are good organisation and communication skills.
  • It is essential for the job holder to know when it is appropriate to seek advice or authority.
  • The job holder must be able to communicate at all levels and present a professional image at all times.
  • To ensure the full and proper implementation of the Company’s Procedures.
  • Acting as primary for the Commercial support at all levels both internally and externally.
  • Be aware of the business continuity plan for the part of the business you work in.
  • Carry out any additional ad-hoc duties as advised by the Commercial Management team.

  • Strong Facilities Management experience (essential)
  • Flexible approach to work with competent skills in Microsoft Office applications, including extent use of Excel.
  • Technical experience and understanding of FM services.
  • Strong experience of quantity surveying and pricing of services.
  • Capable of working with high volume of transactions.
  • Experience of using the NEC3 TSC form of contract and any other form of contract.
  • Knowledge of IFM Company processes.
  • Being able to prioritise own workload at pace, working with multiple deadlines and duties accurately and timely.
  • You will be expected to work to your own initiative, whilst also working well as an integral team member. With being capable of working under pressure with minimum supervision.
  • Being highly motivated, with a high work ethic and being able to motivate others and ability to rise to challenges.
  • Capable to remain calm under pressure, commands respect, has the confidence of their colleagues and can communicate effectively at all levels.

  • An understanding of the implications of Building Regulations, Local Authority Planning, Fire compliance and Construction (Design).
  • Experience of using the NEC3 form of contract or any other form of contract.

  • Maximo / CAFM experience
  • CEMAR experience
  • Finance qualification ACCA / AAT (not essential)
