Position Description

An exciting opportunity has arisen within our Guildford office for an experienced PA to support a newly appointed senior executive of the Allianz team.

The key elements of the role are :

  • Diary management, including organising, scheduling, and coordinating meetings and appointments
  • Coordinating meeting agendas, organising logistics, and booking meeting rooms
  • Screening calls, enquires and requests, and handling where appropriate
  • Screening emails, enquires and requests, and handling where appropriate
  • Management of personal and team expenses, arranging purchase orders, and obtaining approval of invoices
  • Capturing meeting minutes, distributing and coordinating meeting documents and reports
  • Organising internal and domestic travel arrangement, including visa’s
  • Arranging corporate hospitality, dinners, conferences, refreshments, and events
  • General administrative duties (post, printing, faxes, etc.)
  • Typing of correspondence, schedules, presentations, and reports
  • Looking after visitors , suppliers, and customers
