Job Description

We have an exciting opportunity for an experienced administrator to work full time across our Learning and Development, Recruitment and HR Projects / Data and Systems team.

This is a varied and busy role that will be an exciting challenge for the successful candidate. Key responsibilities will include :

Learning and development :

  • Approving and managing grant claim submissions
  • Maintaining accurate L&D records including trackers
  • Coordinating L&D award submissions
  • Ensuring all L&D documentation is kept up to date
  • Coordinating bookings for L&D programmes / courses
  • Issuing study agreements, completion letters and certificates
  • Liaising with learning providers, employees, and line managers on L&D matters
  • Ensuring all learning programme / development scheme information is kept up to date
  • Recruitment :

  • Creating and sending offer paperwork to new starters
  • Collating and checking returned documentation and saving information in personnel files
  • Sharing new starter information with the HR team so that onboarding processes can be initiated
  • Updating recruitment trackers
  • Preparing documentation / information ahead of recruitment events (i.e. careers fairs)
  • HR Projects, data, and systems :

  • Researching information for key projects
  • Carrying out basic data analysis tasks
  • Supporting with draft communications
  • Assisting with monthly and quarterly reporting
  • Other :

  • Supporting with tracking against budgets
  • Processing invoices
  • Supporting with other adhoc administrative tasks as and when required
  • Candidate Specification

    The ideal candidate will demonstrate strong administrative skills, as well as excellent communication skills, both written and verbal.

    You will be able to manage a large workload, deal with conflicting priorities and demonstrate the ability to use your own initiative.

    You will also have excellent attention to detail as well as a willingness to learn and develop. You will need to have strong Microsoft skills and understand the need for confidentiality.

    An understanding of HR, Recruitment or L&D processes would be advantageous.
