Details Purpose : To provide general office management and organisational support services To coordinate documentation and records management in order to facilitate the Directorate’s management system and to ensure compliance with documentation requirements To respond to Clients’ booking requests and update training calendars and database Duties & Responsibilities : General Office Management Provide high quality, proactive management and administrative / training support Reading and screening of incoming paper correspondence, phone calls and general inquiries, taking full account of urgency and actions to be taken Gatekeeper for external clients’ requests and filtering external phone calls Preparing meeting minutes operational meetings) when required (minutes, outcomes, action plans, follow up) Office supplies focal point including coordinating the printing of stationery (business cards, letterheads etc.

Send documents by courier and maintain records Meetings / Event Management Focal point for booking / coordinating meeting / training facilities for the Company (including setting up of video and audio-conferencing facilities) Focal point and administrator for all events (teleconferences, lunches, talks, trainings, on and off-site meetings, workshops, conferences, team events etc.

and taking responsibility for administration including invitations, where appropriate practical arrangements for participants (venue, travel and accommodation) and negotiating with suppliers to ensure cost effective options Assist with preparing meeting materials / documents for directorate events by liaising with others, including printing and reproduction of materials, recording (hard copies or electronically) and distribution of documentation and materials Closing Hours
