What you'll be doing
Responsible for specific activities identifying requirements, managing and improving, managing interfaces, best practice etc.
Diaries accountable for efficiently managing the diary and appointments, ensuring the most effective use of time. Where time is limited, ensure that tasks are delegated to the most appropriate person and when necessary building in time for review in advance of meetings.
Ensure the Directors diary is in line with their priorities. If meetings are likely to be missed or delayed, organisers to be informed in a timely manner.
Building in time when necessary for planning / reflection.
Travel - anticipate travel needs for MD, creating options so that travel decisions can be made quickly.
Support the wider SMT in Booking and arranging travel, transport and accommodation where necessary.
Email responsible for email management ensuring appropriate and timely action is taken.
Briefings - ensure Director is briefed and fully prepared for all internal and external meetings, that all documentation is produced in advance and prep time is built in agenda to review papers.
Meetings responsible for co-ordinating and prioritising meetings (and preparatory meetings where required) so that key discussions are not delayed.
Organising internal and external meetings and audio / video conferences, including booking venues, arranging travel, accommodation, etc.
Attend meetings where necessary.
Expense Management demonstrate financial awareness and take responsibility for ensuringpurchase orders, Orderdesk and T&S requests are reviewed and in line with BT’s policy andchallenge where appropriate before gaining approval.
Meet & Greet - Provide a credible first contact for all levels of the business and external relationships.
Deal with internal and external calls / enquiries promptly and efficiently as necessary Privacy and confidentiality demonstrate the ability to maintain a professional approach at all times and a high degree of discretion & confidentiality.
Technical demonstrate advanced working knowledge and skills of the Microsoft suite of applications and BT systems.
Stay current with technological advances and advise on best use.
Networking create an effective network of contacts within the unit and wider BT, ensuring you know who to delegate to, to support the Directors in preparing for meetings, calls and reviews.
Administration general office / team support to include answering phones; photocopying; printing,conference room booking;
ordering stationery; ordering of equipment etc and filing.
Personal commitments proactively seeking out when the Director has personal commitments that may require diary time, ensure these are appropriately diarised.
Ability to manage projects, Conducting research and complete Ad hoc work as necessary.
