Job Summary / Job Objective / Purpose Statement :
The Trade Mark Records team is primarilyresponsible for booking new cases; checking, diarying and forwarding incomingcorrespondence;
updating the Inprotech database (case updates, bookingdeadlines, etc.); abandonments and maintaining the trade mark and design duedate diaries.
Although primarily responsiblefor trade marks, the team also handles a small number of designs and plantvarieties handled by the firm.
Dutiesinclude but are not limited to :
Complete the daily critical list processincluding chasing Fee Earners to ensure deadlines are met.
Processing and distribution of incomingcorrespondence; diarying any applicable due dates, amending Inprotech asnecessary and taking any other necessary action.
Clearing deadlines on Inprotech via theapproved process.
Entering new property cases or miscellaneouscases into the IP database (Inprotech).
General updating of Inprotech asrequired, including but not limited to recording changes of name, assignments,references and other record changes.
Providing information to Fee Earners foronward reporting to clients, for example schedules or client specific due datereports.
Actioning and maintaining Record’sInprotech reminders program.
Abandoning pending cases as instructedby fee earners.
Entering publication details anddiarying any appropriate due dates.
Processing of bespoke reports (e.g toensure data quality, or client specific reports).
Deal with any queries received from feeearners, their group support or other formalities teams et al.
Newfilings / Document Filing / Fees :
Checking and logging of new onlinefilings.
Checking of filing receipts, enteringfiling details, checking details / forms and completing / diarying ofsubsequent post filing due dates on Inprotech.
Where necessary, checking, logging andfiling of hard copy official documents at the UK-IPO, EUIPO and WIPO. (Checking of applicable document fees andensuring payment).
Assist with training as and whererequired.
General office duties and filing withregard to trade marks, designs & plant varieties.
Helping other Formalities teams whenrequired.
Liaising with Partners, Fee Earners,Accounts and Formalities Staff.
Any duties a Partner or senior member ofstaff may ask you to carry out.

Person Specification :
This role would suit a candidatewith the below specification :
Minimum 2 years experience of Trade Mark formalities, including :
Booking all types of Trade Mark property & miscellaneous cases.
Processing all types of Trade Mark correspondence, identifying & entering deadlines.
The following Inprotech experience :
oUpdating cases / portfolios
The following will be an advantage but is not essential :
Experience and working knowledge of EU designs.
Proactive outlook & good use of initiative.
Methodical approach, attention to detail & ability to prioritise.
Excellent communication skills.
