Operations Assistant :
We are currently seeking to appoint an experienced and knowledgeable Operations Assistant to join our Specialist Fuels Services (SFS) team.
Operating from our logistics centre in Rainham (Essex), the Operations Assistant will report to the SFS Operations Manager and wider SFS management team, supporting operational staff to ensure successful completion of all aspects of the division’s operations.
The primary purpose of this role is to work in conjunction with the SFS Operations manager and SFS administration team with post work management and invoicing.
Key tasks and responsibilities associated with the role are as follows :
Working closely with the SFS Operations team assisting in day to day management of the SFS Operation from Rainham and Waltham Cross depots
Assist with communication with all field staff at all times : rearrange any work requirement should this be needed.
Allocate jobs and select appropriately trained staff to complete works to a safe and required standard.
Work towards Production of RAMS
Assist with the preparation of job packs prior to works commencing.
Assist operations team as and when required with possibility of out of hours call outs
Assist Operations Manager and Northern Area Manager Preparing quotations, arranging works and pricing jobs for invoicing as required;
work towards compiling pricing breakdowns & quotations
Deputise for the Operations Manager as and when required.
Works to be carried out in accordance with health and safety to include provided RAMS documentation. The post holder is required to use knowledge and experience to contribute to the pursuance of works and meet customer demand and satisfy works.
Completion of all works paperwork and submission in a timely manner assisting in invoicing.
Liaison with SFS team regarding all works and recommending improvements or possible opportunities. .
Provide assistance to other departments and managers with day to day work and on-going project work as required.
Operating Company vehicles which the post holder is suitably qualified to operate.
Assisting with vehicle bookings and maintenance
Assisting with raising Opportunities and taking these through to Focal Point for processing
Processing paperwork flow to finalise projects
Calculate job pricing using spreadsheets for various customers
Price up emergency works on schedule of rates
Work towards Completing RDCO (Registered dealers in controlled Oils) online for HMRC
Manage purchase orders including stock control on focal point and at depot level
Process Opportunities for invoicing and obtaining P / O numbers where applicable
Create monthly spreadsheet and update accordingly to record sales and purchases
Monthly Work In Progress (WIP) reports to Head Office & online via Focal Point
Monthly Purchase Accruals report to Head Office
Monitor P / O’s fortnightly for goods received
Authorise where necessary P / O’s and invoices on focal point
Assist with processing of job bookings on focal point
Record inter divisional transactions on spreadsheet and provide divisions with necessary paperwork
HMRC invoicing of fuel along with Inter divisional fuel purchases via Head Office
This list is not exhaustive, and the Operations Assistant will be expected to undertake additional tasks at the request of SFS management.
Operations Assistant Requirements :
A proven track record in a similar environment
Experience in a fast paced environment / role
Good organisation skills
Sound knowledge of invoicing and job breakdowns
Sound knowledge of Excel and Microsoft packages
Previous background in an accounts department would be ideal
HGV vehicle knowledge would be beneficial but not essential
Previous knowledge and experience of completing RAMS documentation and an understanding of Health and Safety in the work place would be an advantage
Willingness to undertake any additional training to increase capability of the division in supplying a service to customers.
