The Project Management Office is dedicated to providing legal project management tools, training and support to our lawyers to enhance the delivery of our legal work.
Additionally to support our most complex projects, the Project Management Office provides Legal Project Manager resources.
The position is responsible for supporting Legal Project Managers perform a project management role on the firm’s largest and most complex legal projects, where project management requirements are exponentially greater than on other projects.
As the Legal Project Executive develops in their role, they will perform an independent legal project management role on selected matters.
The person will be part of a wider team of Legal Project Managers within the Project Management Office, who together drive new services and define and implement legal project management best practice throughout the firm.
Role and responsibilities
Supporting our Legal Project Managers through the lifecycle of our complex projects, specifically :
Supporting project manager in setting up projects and project phases including scoping and budgeting
Preparation of project plans / timelines for internal and external use
Help identify stakeholders and establish a communication plan
Co-ordinate work effort; status reporting; liaising with client and communicating progress; tracking scope changes; creating and updating action lists and trackers
review of lawyer fee narratives to ensure they are to the client agreed format
Updates to project plans / timelines / budgets
Co-ordinate cross-departmental / jurisdictional activity
Create and co-ordinate execution of work plans
Responding to ad-hoc client queries
Ensure effective communication with specialist departments and counsel (internal and external); and that the communication plan is adhered to
Provide timely updates to project manager and / or lead lawyers on potential issues identified
Track risks, changes to scope and lessons learnt
Identify and track tasks delegated to project team members
Review & Close Phase
facilitate learning for future similar projects
Ensure know-how is archived
Advise on project management approach for future similar projects
Contribute to internal projects which the wider Project Management Office team is working on in order to continually improve the firm’s legal project management profile
Amend existing and help develop new project management tools (e.g. Excel templates)
Maintain a close relationship with Advanced Delivery departments to introduce new working efficiencies where appropriate
Who we are looking for
Experience working on projects in a law firm or professional services firm, preferably on client facing, fee-earning projects
Experience of working on complex projects, e.g. strategic and / or large scale projects
Advanced organisational and influencing skills, flexibility of style, attention to detail, and ability to multi-task in a fast-paced, detail-oriented environment
Possess a high degree of initiative and follow-through skills
High-level interpersonal skills to facilitate communication in person, by email, and telephone with professionalism and diplomacy.
Good facilitation and presentation skills
Degree level qualification; desirable to have project management certification (e.g. PRINCE2)
Strong IT skills and the ability to learn new applications quickly
Excellent multi-tasker, good at prioritising conflicting requests; thrives under pressure
Desirable : exposure to financial management tools
