Job description

As an Executive assistant, your mission will be to perform a variety of tasks, supporting our General Manager and the Head of Departments, pulling all the strings together across our organization to ensure the success of every project.

  • NAOS INFUSION :
  • Identify the responsibilities and human resources to incorporate Naos values into our operational actions with the General Manager
  • BREXIT :
  • Deal with administrative tasks due to Brexit such national cosmetic register, participate to networking events, conferences, custom duties, ARMADA process, REACH, CPNP, new regulatory framework
  • HR :
  • Coordinate payroll, review performances, recruitment duties, including on-boarding new staff member, first contact with recruitment agencies and HR agencies with the General Manager.
  • Liaise with the HQ International HR team
  • EVENTS :
  • Organize company seminars, events, and trainings
  • CLERICAL Management :
  • Be first point of contact for office related queries and suppliers
  • Organize, schedule and be present in executive internal and external meetings
  • Prepare meeting agendas and perform research for meetings
  • Communicate with Board Members, schedule Board Meetings, and arrange meeting agendas
  • Book business travel arrangements, including flights, transportation, and lodgings for senior management and other staff members
  • BUSINESS and LEGAL :
  • Periodically review contracts with supplier and retailers with the General manager
  • Taking responsibility of accounts and budgets
  • Manage projects and follow-up with team members where required
  • Liaise with clients and business guests
  • DATA ANALYSIS :
  • Carefully analyzes financial and marketing data and creates reports that identify areas of concern the executive may need to focus on.
  • Maintain a strong working relationship with other relevant departments : Medical, Marketing, Training, Sales, Finance, Logistic, including IT & PR
  • Prepare and deliver monthly reports to the General Manager and internally to the affiliate departments
  • Additionally, you will be involved in decision making processes, working more closely with management if taking on some of the manager's responsibilities and carrying out specific projects and research.
