Job Purpose :
We are looking to recruit a Facilities Assistant.
Maintaining records and information within the IMS system and H&S systemsAssist in control of contractors and visitors ensuring contractors and visitors follow the agreed on site protocolRaising of Purchase Order Requisitions and filing necessary paper workAssist compiling data for month end and KPI's and submission within required time framesUpdating of various Microsoft Excel spreadsheets associated with the roleSupport the Helpdesk Co-ordinator by ensuring that all insurance documentation, training records and RAMS are provided by external contractorsMaintaining a filling system with all relevant documentationMaintain and update training matrix for onsite staff membersAssist with audit preparations when requiredComplete other duties as required and directed by management Assisting on site Helpdesk as and when requiredOrdering materials for the Operations Team and chasing up on the delivery of these where necessary to ensure the timely delivery of the required itemsEnsure your works areas are kept presentableManagement of keys and their issuing and returnMaintain an inventory of uniform and PPE for the Operations TeamProvide regular updates to your line manager on operational issuesAttend FM meetings as note taker.
Deputise for the Helpdesk Coordinator in their absence
