Overall job purpose To co-ordinate and project-manage the tender process for large Global tenders being run by the Global Accounts team.
To collate and share best practice on bids and tenders across the organisation. To set up and maintain bids and tenders software platform in conjunction with Global Accounts Head of Strategy and Marketing.
To set up and roll out the bid management system for Global Accounts and to all interested markets. To capture data and information on successful and unsuccessful bids and feed this data into the bid system.
To develop & monitor a Bids and Tenders pipeline of opportunity in conjunction with the Global Account Directors across all categories of the RI Group but with a particular emphasis on Pest Control & Well-being / Hygiene.
Manage that pipeline proactively by being the first point of contact with the customer in all phases of the Bids and Tenders process.
Once awarded ensure a seamless transition to the Global Account Relationship Executives who will lead and coordinate the implementation plan to deliver new revenue into our operating businesses.
Key Accountabilities Work with country National accounts channels to ensure Global Accounts is aware of any potential Tenders which may originate from a market.
Ensure standard Global Account tenders process is used for all bids and tenders. Effective coordination of International bids and tenders to achieve maximum conversion of existing customer opportunities.
Project management of Global tenders / RFPs including development of plans, tenders register, questions and risk register and issue logs.
Connect with country tender and or key account teams and co-ordinate communications on all ongoing tenders. Coordinate the bid / no bid process Coordinate regular meetings with the bid team as required.
Coordinate all external communications as determined by the Customer. External communications may involve face-to-face meetings / discussions, bid presentations, as well as written clarification questions or email communications.
Ensure all content is maintained in the bid library IT platform. Coordinate the production of technical, commercial, legal and operational content for bids.
Co-ordinate the submission of pricing for by all countries, ensuring the correct LOA and monitoring margins Liaise with the Legal team & Global Account Directors on contractual matters in bids and tenders Requirements Previous bid management or sales finance experience preferred but not essential.
Service Industry experience B2B Customer Service face to face experience in a fast paced corporate environment Excellent Written Communication, particularly in developing content for commercial proposals and presentations.
Proven ability to effectively communicate with internal and external working relationships. MUST be able to thrive in a complex matrix environment.
Proven experience in an international environment Excellent communication and presentation skills. Experience in working with middle Management across multiple countries and regions.
Advanced skills in relations to Microsoft / Google and other IT systems.
