The Marketing Team Assistant supports the Marketing Team in the day to day administrative processes that ensure our projects and our team run efficiently and successfully across all brands.
Team Diary Management
Booking weekly, monthly and ad hoc marketing meetings into the diaries of the team or the relevant attendees as agreed with the marketing Director
Ensuring Rooms are booked and that relevant catering and technical services are also booked. This includes prechecking meeting rooms to assist with audio visual set up and room lay out and also greeting external guests and assisting their set up needs.
Working with the Marketing Director to plan and execute marketing team events out of the office, such as team away days, team trainings, team trade visits.
These could include managing domestic or foreign travel requirements, hotels, catering with our third party travel supplier.
Booking internal events with the catering team such as team tastings, welcome and leaving events
Purchase Order Processing
Working with the finance team to set up project codes under which Advertising and Promotional monies will be spent
Working with brand managers to allocate advertising and promotions budgets to project codes at the start of the year
Receiving Vendor information and communicating it to finance in order to set up New Vendors on our Purchase Order systems
Raising Purchase Orders for vendors on behalf of the relevant brand teams
Managing the sign off and goods receipting of the purchase orders on SAP and Webcycle
Working with accounts payable / business control to manage transfer orders, maison recharges, A&P code reallocations
Keeping a tracker of all PO numbers and their associated goods receipts codes
Point of Sale Material Processing
Receive and process requests for Point of Sale Materials to be delivered by our logistics partner to venues and events on behalf of the marketing team.
Sending these requests to our logistics partner (MDA) and following up to ensure successful delivery
Arranging for the re-collection of POSM materials back into the MDA logistics system from venues and events
Quarterly updates on the quantity and state of the POSM in MDA : review a list of items and photographs (occasionally site visits to MDA) with brand managers to determine what can be kept, needs to be refurbished or can be destroyed
Managing any POSM being kept at Moet Hennessy UK offices or transporting through them.
Tracking the arrival of POSM into the MDA warehouse once ordered from our POSM system by the brand managers
Stock Order Processing
Supporting brand teams with the ordering of bottles or cases of our brands to be sent to venues and events
Receiving any unused stock back into the office
Ad hoc requirements such as booking couriers or taxis,
Light organisational assistance with the organization of Christmas and summer parties, company conference, Christmas in July and Vision days.
