You’ll learn to carry out a wide range of duties including :
Carrying out all aspects of administrative duties to support the Project Live Team in an efficient and effective manner.
You’ll working as part of the team you’ll help them to co-ordinate installation projects once they become live.
You’ll learn to assist the team by taking incoming calls, filtering calls and passing them onto the relevant team member.
Take minutes in meetings where projects are discussed
Prepare job packs for installers using computerized systems ensuring all relevant information is entered.
Speak to customers to book in low level works as agreed by your Manager.
Prepare project folders by checking that all relevant and required documentation is present.
Assist the project live co-ordinator when required with the booking of all and accommodation for live projects, acting on all issues as and when they arise.
Prepare profit and loss information for projects including purchases, labour and mileage readings (from tracking system) and track costings throughout projects as and when they occur.
Record all issues, findings and feedback throughout a project to enable the project live team to resolve them.
Update an electronic report on a weekly basis showing all issues, feedback, any non-conformities and KPI’s (from the board).
These findings must be analysed monthly and an updated report must be presented to the team at least monthly.
Assist with ensuring that all paperwork in job files are accurate and complete prior to the job becoming live and before it is passed to the Finance department for invoicing.
Assist with the preparation of an inspections project file, to include hazard sheets, drawings and photos etc. and give to the Business Development Managers for quoting as soon as they are available (daily if possible).
File and manage all digital data along with scanned copies of non-digital data in a computerised file taking into account the date protection act.
Assist other project live team members with their projects where and when required.
Requirements : Three GCSE passes 3 / D upwards (or equivalent) are essential to include maths and English. Ability to work confidentially and professionally.
Need to be a team player, with good attendance and punctuality. Willing and keen to learn through the Apprenticeship training.
Good ICT skills including Microsoft Office. Well organised with a close attention to detail. Good communicator and team player.
Training : The successful candidate will work towards a Level 2 in Business and Administration. This will be aided by an assessor who will carry out all assessments as work-based learning within the workplace.
