Purpose of the role
Supporting the processes and systems to structure, control and evaluate records and information to allow departments and projects that rely on accurate information to function effectively.
Supporting the whole information management lifecycle for the business from acquisition of information and assets to sale and appropriate relinquishment.
Provide day to day information management support to the business including :
Assistance with the classification, collation and storage of information (physical and digital) and support the business with access and retrieval
Answering information related queries regarding generated information
Cataloguing and indexing information internally generated and received from external third parties
Support information lifecycles including assisting with the development of workflows, information retention policies, archiving and destruction
Administer external Information sharing on behalf of business functions and assets
Support transfer and receipt of confidential information
Support Audit activity both internal and external
Management of corporate journal subscription and access
Manage the provision of advice and training for functions, assets or project staff on Information policies and procedures
Support the appropriate application to department or project staff on Information policies and procedures
Monitor IM job requests queue for allocation and escalation
Within a broader team support the delivery of appropriate Information Technology solutions to simplify, automate and provide excellence in the provision of Information Management.
Deliver technological solutions available within primarily, but not exclusively 0ffice 365 that will support Information Management delivery strategy
Support delivery of relevant training and business handover of solutions to the business and the IT Service Desk teams
Support business change through the standard Information and Technology project delivery and change management processes
Support Senior Information Management Analysts and the broader I and T team in the delivery of third-party applications to support business processes as required.
Support the business project delivery process helping to ensure that the Project Delivery Process (CPDP) is followed where appropriate and that appropriate Information Technology project delivery and governance steps are followed. To include :
o Ensure that any requirements for Information and Technology resource are clearly understood as early as possible and communicated within the team
o User Access Management is understood and appropriately implemented
o Provide advice and guidance on application administration and segregation of duties
Degree Educated Preferred
Relevant Experience / Skills :
Knowledge and understanding of Document Control principles and practices.
Working knowledge of Electronic Document Management Systems and data management and the associated processes, software, tools and databases.
Knowledge of in setting up filing / classification / indexing systems & developing retention schedules.
Evidence of working in cross functional teams
Evidence of business analysis skills
