KEY TASKS AND DUTIES

1. To act as the initial point of contact for any visitors or telephone enquiries

2. Meeting & Greeting visitors to Head Office in a professional and welcoming manner.

3. Dealing with customer feedback and providing excellent customer service

4. Operate switchboard and deal with enquiries.

5. Answering, forwarding & screening phone calls.

6. To provide efficient and effective administrative support to Head Office.

7. Deal with any booking requests for senior management and directors

8. Arranging couriers

9. Sorting and distributing post and online returns

10. Sorting and distributing shop paperwork

11. Take and distribute accurate verbal and written messages as necessary.

12. Deal with routine correspondence and queries in an appropriate and confidential manner.

13. To establish and maintain appropriate filing and record system.

14. Update information and other records as necessary on computer system.

15. Ensure the efficient use of photocopier and fax machine.

16. Ensure reception area is clean and tidy at all times.

17. Any other duties as directed by the manager, general manager or directors.

PERSONNEL SPECIFICATION

ESSENTIAL

The successful candidate must be able to demonstrate :

Relevant Experience :

Experience and up to date knowledge of IT systems including Email and Microsoft Word and Excel

Special aptitudes :

Excellent oral, written, interpersonal and communication skills

Excellent organisational skills and attention to detail

Able to work unsupervised using own initiative

Able to work within deadlines

Maintain confidentiality

Disposition :

Enthusiastic and positive customer focused individual

A proactive team player with a can do’ attitude

Happy and extrovert personality with a kind and considerate nature

Flexibility :

To be flexible according to the needs of the business.

Relevant Experience :

Previous experience in an office environment undertaking a clerical role

Experience in customer service

Experience dealing with queries via telephone and email
