Main Purpose of the Post

  • Data entry into SPECIFIC’s External Company Engagement Database (currently Microsoft Access) and data mining of public information to retrieve company information.
  • Maintain up to date overview of the status of SPECIFIC’s engagement with companies, in consultation with colleagues at SPECIFIC.

  • Generation of external engagement forms, ensuring their completion by the collaborating companies.
  • Collection of data regarding the State Aid eligibility of the collaborating enterprises, with particular focus on their De Minimis allowance prior to intervention with SPECIFIC.
  • Assisting the Business Development team and Senior Technology Transfer Fellows in the preparation of Project Outline forms.
  • Transferring of short project summary onto appropriate template and ensuring the completion other areas as appropriate.

  • Maintenance of Company Engagement folder structure on SPECIFIC’s shared drive, ensuring all relevant documentation is uploaded and filed in a timely manner.
  • Maintaining master spreadsheet of SPECIFIC’s KPIs, gathering data from SPECIFIC staff on an on-going basis, such that the KPIs can be reported to the funders (EPSRC, Innovate UK, ERDF) on a quarterly basis.
  • Assist in the collation of data for quarterly reports for Innovate UK, sending timely requests for contributions to SPECIFIC staff and combining the information provided into a single coherent document for submission to SPECIFIC’s management team.
  • The role holder will be responsible for providing administrative support to the Project Delivery team (Business Development, Impact, Project Management).
  • Qualification :

  • A good standard of education to A level or equivalent
  • Experience :

  • Demonstrable previous administrative experience, ideally in a business facing environment, involving activities related to the main duties’ of the job
  • A demonstrable track record of handling a demanding and complex workload with competing deadlines
  • Experience of using software packages (e.g. Microsoft Office) to present their analysis and interpretation of data through appropriate formats
  • Knowledge and Skills :

  • Proven data collation and IT skills using the suite of MS Office applications
  • Ability to prioritise and organise own workload including setting up meetings and events
  • Evidence of ability to set up and maintain systems and processes
  • Evidence of attention to detail and a high degree of accuracy, even under pressure with competing deadlines
  • Demonstrable evidence of excellent oral and written communication skills
  • Demonstrable interpersonal skills
