We are currently looking for a talented and motivated Project Administrator to join our Building Standards team. This role could be based in either London, Brighton or Southampton.

What does the role involve?

As the Project Administrator you'll provide timely, efficient and professional project administration support to Project Managers using the ERP system (Maconomy) and project databases, with an emphasis on credit control activity.

The Project Administrator will be responsible for :

  • Setting up and updating projects in the ERP system, ensuring it reflects the latest financial position by liaising with Project Managers.
  • Supporting, coordinating and facilitating the adherence to the Project Management Framework (PMF) by ensuring all project related documentation is saved in the relevant location.
  • Liaising with Project Managers to determine what can be invoiced and ensuring invoices and applications for payment are issued in a timely manner, liaising with the technical team if needed.
  • Supporting the Project Manager with credit control activity to ensure payment is received in line with our agreed terms, highlighting any potential delays or issues.
  • Coordinating documentation and personnel required for project related audits such as Health & Safety or Finance, keeping the Project Manager updated.
  • Support PM / project delivery teams to create and format project technical reports, submissions and fee letters to ensure a quality end product and consistency of appearance and brand standard.
  • Filling out Supplier Questionnaires / PQQ / Competency Questionnaires to help assist Bid Coordinators
  • To be successful in this role you’ll possess :

    An understanding of financial project management systems and process along with competence in Microsoft Office Word, Excel, PowerPoint, Outlook and Teams (Intermediate).

    You’ll have strong administrative skills and could come from a credit control background. You will work across our Building Control, Building Safety Consultancy and Building Health and Safety Business Units so experience in these areas and an understanding of processes within an engineering or construction-based environment would be highly advantageous.
