Assistant Project Managers support project and programme delivery and the effective and efficient functioning of the Projects Directorate.
This role involves a wide range of potential work areas and it is intended that the specific activities delegated to individual will match their capabilities and interests while facilitating their career development, subject to business requirements.
At any one time, an Assistant Project Manager will be assigned to one or more programmes, projects, initiatives or PMO functions by their line manager.
For each assignment, the individual will report to an assignment manager and will provide the necessary support to the relevant team.
The Assistant Project Manager will accept responsibility for assignments as delegated by their line manager. Within each assignment, the Project Assistant’s responsibilities may include :
Under the guidance of the assignment manager or another member of RSSB staff, undertake one or more of the following activities :
Prepare and maintain, or assist with preparing and maintaining, schedules in Microsoft Project Online, taking account of dependencies and resource requirements.
Develop, implement and update, or assist with developing, implementing and updating, resource allocation plans for projects, programmes or operational activities, taking account of availability and scheduling.
Apply, or assist with applying, RSSB quality management processes to ensure that project processes and / or outputs meet stakeholder requirements and are fit for purpose.
Correctly implement, or assist with the correct implementation of, change control procedures.
Assist with ensuring that project requirements are clearly defined, agreed and communicated.
Support the procurement, contract management and / or relationship management of external project suppliers.
Assist with the development of budgets and with the control of forecast and actual costs against budgets.
Assist with the identification and monitoring of, and the planning and implementation of responses to, risks, opportunities and issues.
Assist with the preparation of project and programme documentation as required for review and approval at stage gates.
Assist with the production of consolidated project plans which document the fundamental components of the project (including scope, schedule and resource plan, budget, quality requirements and risks, opportunities and issues).
Assist with the monitoring of actual progress against plan for agreed project or programme performance indicators (cost, schedule / milestones, quality, risks, etc.).
Assist with the forecasting of future performance against plans.
Assist with the management of internal and external stakeholders.
Assist with the planning and delivery of communication activities.
Assist with reviews of projects or programmes.
Assist with the preparation of project documentation for publication.
Assist with project closure, which may include contributing to lessons learned reviews, gathering stakeholder feedback, and / or contributing to the project close report.
Analysis and Reporting
Undertake analysis and produce reports as required for projects, programmes or the Projects Directorate.
Monitor and report on adherence to one or more RSSB policies, processes and / or procedures, which may include part or all of the Common Projects Framework.
Work with technical specialists and other project management staff to maintain Project Online.
Provide technical, administrative and user support for content management applications and other industry systems and tools.
Plan, organise, manage and / or support the effective undertaking of meetings. This may include minute taking or recording of actions, following up to ensure that actions are completed and reporting on the status of actions.
Provide technical and administrative support for industry conferences and training delivery.
Provide logistical and administrative support to projects, programmes or other Projects Directorate activities.
Undertake other tasks that support project and programme delivery and / or the effective and efficient functioning of the Projects Directorate.
Policies, Procedures and Processes
Ensure all tasks are carried out in accordance with all relevant RSSB policies, processes and procedures, including the Common Projects Framework, procurement policies, and any processes applicable to the project type (e.
g. Research and Development, Standards, etc.).
A technical or broad business background or a graduate, ideally with some business experience.
Preferably, some relevant experience in a business team or function.
Preferably, competent in the use of Microsoft Excel, Word and PowerPoint.
Ideally, experience of carrying out project support work.
Attention to detail and accuracy in all work.
Ability to work as part of a team and in a matrix fashion.
Experience of working with a range of stakeholders and the ability to influence at all levels.
