The Project Co-ordinator will provide day to day support for the Project Office Manager and Programme Management team, ensuring activities are carried out in a timely manner to enable the team to deliver business wide projects within scope, on time and to budget.

The main duties and responsibilities of the role include :

  • Set up all department templates and documentation so they can be accessed by all team members.
  • Maintain SharePoint to ensure all document are version controlled
  • Prepare documentation as requested by the team members using the appropriate software e.g. process maps, templates, etc.
  • Attend project meetings, if requested, to act as support e.g. preparation of minutes, actions and notes, etc.
  • Prepare and issue minutes within a timely manner.
  • Facilitate workshops, as required.
  • Maintain resource plans and escalate any shortfall or clashes to the POM in a timely fashion to avoid time delays.
  • Update and maintain the change activity tracker for review by the POM and wider business via the Business Priority governance structure.
  • Escalate any requests for change or additional requirements to the POM immediately.
  • Ensure all required governance documentation is completed to enable commencement and delivery of programme / project.
  • Prepare presentation material as and when requested for multiple audiences and purposes.
  • Ensure all documentation is of a sufficient standard and is quality checked before release.
  • Input, maintain and ensure up to date budget and actual figures on a timely basis for ongoing and regular review by the POM
  • Escalate and highlight any budget concerns immediately to the POM.
  • Support and execute administrative support such as attendee calendar co-ordination, booking of rooms, preparation of equipment required for meetings, workshops etc.
  • Organise travel and associated requirements following the internal policies.
  • Be prepared to travel to other areas and locations for the business.
  • Maintenance of the project plans.
  • We are looking for someone with experience of change management or a project office / co-ordinator role. Experience of project documentation and templates and with a high standard of Microsoft Office i.

    e. Word, Excel, PowerPoint, Visio, Project and SharePoint is essential as well as an understanding and working knowledge of project methodology across the project life cycle.

    You must have the ability to work as an individual as well as being a strong team player. You will be able to challenge at all levels as well as having excellent interpersonal skills.

    An excellent communicator at all levels both written and verbal is essential as well as being able to interface with other roles across the organisation.

    A strong work and development ethic is important for this role.

    This role could suit a University Graduate or individuals wanting to pursue a project management role
