Organise, maintain and develop efficient manual and computerised filing systems to ensure an effective prompt retrieval of information.
Coordinate the organisation of meetings, preparation and distribution of agenda and taking of minutes if required for any committees / meetings chaired by the Head of Fleet Engineering.
Manage diary commitments for the Head of Fleet Engineering and department staff to ensure efficient time
Manage the rota for on call arrangements for Manager and Technical Support On Call in order to deliver compliance the Company emergency
Cost coding and recording of invoices and coordinate / report Head of Fleet Engineering's budget position via Agresso.
Research, develop and collate presentations and reports on behalf of the Head of Fleet Engineering.
Research and prepare briefings for the Head of Fleet Engineering in advance of meetings on a diverse and complicated range of subjects.
Compile and edit Company documents as first drafting of a wide variety of documents.
Coordinate responses from all sections within the department and act as the central conduit for communication in relation to the Fleet Engineering Dept.
Manage communication with senior internal and external stakeholders ranging from our own internal Executive Team and Professional Heads to Trade Union full time officials, Trade Bodies,
Manage, sort and prepare all correspondence and communications, prioritising and composing suitable responses to routine external operating companies.
This will involve the handling of sensitive and confidential material.
Minimum of 3 GCSE's including English and Math
OCR (RSA) stage II Word Processing / typing (Parts 1&2) or equivalent.
You must also have a minimum of 3 years' experience in a senior secretarial / clerical role and experience in writing / compiling reports.
