Fantastic opportunity to join Warner Bros. Studios Leavesden as our new Reception and Dispatch Coordinator.

Primary Purpose of the Job

De Lane Lea specialises in post-production for feature films and television. The state of the art facilities and talented staff allow De Lane Lea to shape content to extraordinary levels of detail and creativity.

The facilities include 4K HDR colour grading facilities, six networked dubbing theatres, social area, preview theatre, content handling and 50 cutting rooms in the heart of Soho.

The Reception and Dispatch Coordinator is an integral part of the administrative team to help provide a first class service to our clients.

Be the first point of contact for all WB De Lane Lea clients, guests and staff providing a first class, courteous and effective front of house service as well as dispatch responsibilities including coordinating and accurately logging all in and outbound physical media.


  • Answering, screening and transferring all calls to the relevant person / department from a busy switchboard. Being able to filter sales calls.
  • Access control management through the use of the CCure system as well as physical key management including tracking the issuing and return of keys and cards.
  • Meeting, greeting and directing clients, contractors and visitors correctly by following the security policies of the facility.
  • Managing of all inbound and outbound deliveries via Reception. Maintaining accurate records and following the correct procedures relating to the security and notification of deliveries
  • Booking passenger cars and couriers, maintaining accurate records of these bookings, and passing on accurate billing information.
  • Ensuring that the correct and complete handover of information is always maintained between the various front desk personnel including Security and Runners, and scheduling
  • To assist in the instruction, scheduling and monitoring the running team, ensuring they provide an effective service, and duties are carried out in accordance with the runners Oracle
  • Ordering and monitoring all of the company’s stationery requirements. Carry out any additional purchasing activities as requested by the Finance Department or facility management.
  • Placing orders for bar stock and liaising with runners to ensure sufficient stock at all times
  • Maintaining a tidy reception area.
  • Updating all reception lists i.e. cutting room occupants and their correct extensions, current productions in the studios, staff phone numbers,
  • Fire Marshall in charge of the ground floor and knowledge of all health and safety and fire procedures.
  • Logging all in and outbound physical media including hard drives, tapes etc
  • Accurately entering data into Xytech asset tracking system
  • Any ad hoc duties as directed by management, the bookings or accounts departments.
  • The successful candidate should be able to demonstrate the following :

  • Excellent communications skills and interpersonal skills with the ability to create an immediate rapport with a range of contacts.
  • Exceptional customer service.
  • Sensitive to differing clients needs and priorities with the ability to question in a diplomatic manner.
  • Computer literate. In particular, very good working knowledge of Microsoft Office (Word, Excel and Outlook).
  • Previous experience of managing a switchboard.
  • Good general knowledge of production and post production.
  • Good numeracy.
  • Experience of maintaining a security access system is desirable.
  • Experience in using Xytech Media Pulse.
  • Excellent attention to detail.
  • Knowledge of different physical and digital media formats.
  • Previous experience of managing or coordinating others is desirable.
