Our client is a major Airline manfucaturing supplier looking for a Mandarin Speaking EA to the CEO. We have an exciting opportunity for an Executive Assistant with strong written and verbal communication skills in Mandarin and English to provide high quality administration support to the CEO and executive team.

The Executive Assistant reports to the CEO and provides administration support to the CEO and is the administrative interface between the CEO and the board.

The EA also will provide ad-hoc administrative support to the executive leadership team members as and when time permits but the priority is to support the CEO with organising, scheduling, correspondence, meetings and other administerial duties.

Taking responsibility and ownership of diaries, meeting arrangements and deadline compliance through strong internal and external relationships.

  • Previous experience as a Personal Assistant to an Executive Team is essential.
  • A background working in manufacturing / engineering industry, is essential.
  • Experience of electronic diary management and broad IT skills, including Word, Excel and Powerpoint.
  • Able to handle sensitive information with discretion, whilst maintaining confidentiality at all times.
  • A highly organised individual who can multitask, adapt priorities and work on own initiative to deliver.
  • Excellent written and verbal communication skills in Mandarin and English are essential.
  • High level of relationship management skills at all levels both internally and externally.
  • High levels of accuracy and attention to detail.
  • Degree Qualified
  • Desirable Skills and experience

  • Project management skills an advantage.
  • Own the monthly board meeting process with timely preparation of board packs, providing translation of documents in a timely way for review prior to the meeting(s)
  • Providing support to the CEO for an extensive range of meetings; including preparation of agendas, external customer visits and travel, pre-meeting briefings and meeting papers, noting action points and following them up.
  • Event Management including Hamburg and other trade events organisation of company briefings, away-days and other offsite events.
  • Able to assimilate written and verbal communication quickly and produce accurate, timely minutes and documents.

  • Effective management of diaries, assessing priority of appointments and reallocation as necessary.
  • Liaise between the Executive team, senior managers, managers and other key parties, arranging meetings as appropriate and maintaining good communications.
  • Generating correspondence and providing support in preparing reports and presentations.
  • Handling telephone calls with professionalism; re-directing, taking messages or handling queries.
  • Timely and efficient handling of incoming mail; sorting, distributing and responding / drafting responses
  • Organising and maintaining effective filing systems and support in processing claims for expenses.
  • Maintaining relationships with colleagues at all levels, including our Chinese colleagues and those operating out of other locations across the business.
  • Provide flexibility and adaptability in your working hours to support the Executive Team.
