We have a fantastic opportunity for a Personal Assistant to join us in Siemens Mobility based in sunny Poole, Dorset (37.

5 hours per week), this is a maternity leave cover for a period of 10 months. As a Personal Assistant you will be responsible for providing a comprehensive, confidential and professional support service to the Chief Finance Officer for Siemens Mobility UK&I and HR Director.

This is a varied role that requires a level of flexibility and being able to prioritise therefore you will be highly organized, a team player and able to adapt easily.

We are looking for someone that is creative and has excellent writing skills, commercial awareness and can communicate with people at all levels.

What are your responsibilities?

  • Organising and scheduling meetings, events and conferences for the directors of Siemens Mobility and ensuring the calendars are not compromised and priorities are agreed
  • Managing diaries and organising meetings and appointments, often controlling access to the manager / executive
  • Booking and arranging travel, transport and accommodation, collating and filing expenses
  • Supporting with onboarding, offboarding, delegations and ordering IT Accounts and equipment
  • Reminding the manager / executive of important tasks and deadlines
  • Maintaining high level of confidentiality of all sensitive or proprietary information
  • Keeping up to date and ensuring effective compliance with company procedures using internal systems and tools
  • Creating purchase orders for business needs
  • Acting as a first point of contact : dealing with correspondence and phone calls
  • Personal Assistant (You)

  • Someone with significant experience of providing PA and administrative support at a Director level
  • Someone who enjoys working with a modern, agile Management Team
  • Good organisation and planning skills with the ability to prioritise workload and achieve objectives with minimal supervision
  • Good teamwork & excellent interpersonal skills and telephone manner
  • Someone who is adaptable and is able to prioritise and has commercial awareness
  • Creativity and writing skills with high attention to detail and presentation
  • Ability to establish good networks and relationships within own function and amongst internal partners
  • Advanced Knowledge about Office 365 (Word, Excel and PowerPoint), expert in Outlook
