Job Purpose

The Canal & River Trust is one of the UK’s largest charities, we maintain 2,000 miles of historic canals, rivers, docks and reservoirs, along with museums, archives and the country’s third largest collection of protected historic buildings preserving them for future generations.

We are currently looking for two strong Facilities Supervisors for our fantastic Newark and Gloucester sites.

These roles will involve :

  • Providing facilities management on site and control to the appropriate offices.
  • Managing and controlling the facilities and services provided to the office to enable its smooth running, within normal or outside of normal office hours when required to meet the needs of the business.
  • Ensuring the office environments are fully available and operable for all.
  • Knowledge, Skills / Qualifications & Experience

    To succeed in this role, it is important that you are a problem solver. You will approach issues and situations that arise with an ability to consider the whole issue, the impact on people and organisation, and work with others to find a solution.

    As you will be working with minimal supervision and to deadlines whilst dealing with a variety of stakeholders from across the organisation you will thrive working independently and care about delivering excellent customer service.

    You must have the appropriate knowledge, experience of administration, facilities and office management. This role requires a degree of physical task delivery and ability to move and organise office equipment, receive deliveries etc is necessary.

    In addition, you will possess the practical / technical skill and knowledge to ensure that you can effectively manage the role, and deliver on day to day requirements, including computer skills - Microsoft Office and knowledge of SAP.

    In this role you may be planning for the day, week or months ahead for an activity, it is therefore essential that you have strong and evident planning & organising skills.

    As you will work, support, and manage relationships with internal stakeholders from across the organisation, and external stakeholders too, your professional and approachable manner, and flexible attitude to new tasks is also necessary.

    Accountabilities include :

  • To ensure that the offices and premises are maintained to a suitable and presentable standard for the benefit of the office, colleagues and visitors, reporting to the National Facilities Manager ( NFM ) any related issues.
  • To deal with contractors on site. Organise reactive call outs through the maintenance contractor in consultation and with the approval of the National Factilites Manager ( NFM ) and processing where required those raised by the NFM for associate offices.
  • To carry out the facilities functions for the maintenance of Health & Safety requirements for the building, working closely with the NFM to this end, including the carrying out of inductions, checking of extinguishers, carrying out of building and premises risk assessments and associated requirements.
  • To ensure GDPR requirements are addressed and maintained in the office.
  • To ensure that the security of the office is maintained.
  • To retain clear records and provide monthly reports to finance and the NFM on stationery, equipment and reactive call outs etc.
  • Displaying the Trust values and behaviours at all times.
  • Ensuring that diversity and inclusion are integrated into all aspects of Trust life and promoting inclusion by challenging behaviour, practices, actions, or decisions that are counter to the objectives of the Trust’s policies and values.
