    Job Title : Purchasing Assistant

    Job Summary

    We are currently seeking a Purchasing Assistant to be responsible for the purchasing, stock control and the supply of products & services for use by the Cardiff site.

    Key Roles and Responsibilities :

  • Administer supplier accounts ensuring their details are accurately entered into the system (Dimensions), that their documentation and qualification requirements have all been approved.
  • Ensure timely management of orders in line with company policy from raising PO’s through to dealing with queries on invoices in support of Finance, resolving any issues or discrepancies that might occur during that process.
  • Place new orders to cover maintenance contracts and rolling consumable & supply agreements.
  • Maintain good professional working relationship with supplier contacts to support efficiency and quality of service.
  • Manage site office moves, liaising with all parties to ensure a smooth process.
  • Assist with Planning Team finance tasks.
  • Ensure purchasing records are retained accurately to meet ISO & HMRC regulations and provide data for audits.
  • Regularly review Cardiff supplier accounts and close unrequired orders & follow up on all outstanding orders.
  • Administer Purchasing & stores SOP's, Forms & templates on X-docs.
  • Analyse purchasing data to track department costs and flag any anomalies found. Flag any coding errors, missed items to be capitalised & gaps in documentation relating to purchase requests and payment processing.
  • Monitor supplier performance compiling and reporting performance on a regular basis.
  • Assist with the maintenance of accurate stock levels by assisting with monthly stock checks to reconcile and monitor stock.
  • Qualification

    Essential Requirements :

  • Minimum of 2 years’ experience working in a similar role
  • Math’s & English GCSE At least grade C
  • Good written and verbal communication skills
  • Multitasking and prioritization of workload
  • Methodical and thorough approach to work
  • Desirable Requirements :

  • Purchasing qualification CIPS Level 3
  • Use of Dimensions & Focal point would be highly advantageous
  • VBA coding experience
