How you will make Plan Zero happen

In this dynamic and demanding position you will play a key role in the business support, coordination and planning of the Building Management (BMS) Operations team.

This operation is responsible for the delivery of BMS PPMs, Callouts and Remedial works to the wider Mitie FM client base.

The tasks delivered by this highly skilled planning and coordination team ensure optimal performance of the BMS across our client's sites.

This helps to maintain comfort conditions and drive down energy usage as we strive towards our goal to achieve Zero Carbon.

What will you do day to day?

  • Interface directly with the Operations Mangers and field based teams to ensure efficiency and productivity of the BMS engineers to deliver PPM and Reactive site visits.
  • Manage the mobilisation of new BMS Maintenance contracts, including the initial processing, population and scheduling through Maximo.
  • Monitor and manage the generic email in box to respond to client requests for assistance to faults and information. Accurately capture all relevant information to allow the calls to be logged in Maximo.
  • Build strong relationships with the Service Operations Team (SOC) in Manchester, so that remote response / dial in to the BMS can be achieved with the aim of minimising the number of site based visits.
  • Work closely with our supply chain / partners for the delivery of PPM and reactive visits that are outside of the self-delivery model and allows an additional level of resource to be available for reacting to site visits.
  • Plan and communicate all PPM dates with clients to ensure access requirements are managed so that engineers are expected on site on the day of the visit and are able to gain access to site
  • Be able to prioritise and understand where critical issues need to take precedence over a PPM and manage the reorganisation and communications with the client to avoid offence.
  • Provide daily support to the Operational teams by; Ordering tools, equipment and PPE along with booking of training courses.
  • Manage the subcontractor / supply chain delivery, chasing and uploading PPM reports into Maximo
  • Assist in the monthly reactive billing by ensuring PPM reports are available and costed correctly, PO instructions have been received and evidence is available to support our claim for fees
  • Order equipment and spares to support in the delivery of works
  • Proactively support the management team through weekly meetings and information sharing on issues and escalations.
  • Provide monthly reports and updates on completed PPMs, reactive callouts to allow preperation of management reports.
  • Who will you work with?

    The BMS Operation consists of over 40 field and remote based engineers and managers. You will be an integral part of this team, whilst on daily basis working as part of a direct three person business support team.

    Experience & Skills

    Ideally you will have experience in a previous planning and coordination role. Alternatively, if you have excellent organisational skills, are a great communicator and are able to utilise your initiative under pressure you will be able to excel in this role.

  • Good analytical and problem solving abilities.
  • Excellent attention to detail.
  • Some knowledge of Microsoft Excel, Word etc.
  • Strong organisational ability and the ability to plan and prioritise
  • Good time management skills.
  • Knowledge of Maximo or alternative Asset Management Tool
