Be a part of the MACE consultancy business, working in the Transport and Infrastructure sector. As part of the Mace Rail team you will help with the delivery of the Information Management Service to various sectors in Network Rail, around the North West and Central Region, looking at projects from London to Liverpool.
You will have an involvement in ensuring the delivery of projects on the rail infrastructure is managed and maintained and helping to integrate major projects such as the HS2 programme into Network Rails management processes.
The document controller will work on various projects within the Mace Rail Sector, managing the client’s document database management system ALIM Web Assetwise, working with project teams, NR contractors and clients to manage the flow of information between all project parties and ensure relevant security measures are adhered to.
There may be a requirement to work with other Network Rail systems such as Project Wise and BIW to assist with management and delivery of the process.
Your responsibilities will include :
Ensuring that all procedure / process guide’s, where applicable, are issued to all project design teams.
Establish and Manage the Alim database for the projects.
Update and maintain project filing structures, team members and distribution lists.
Informing the project team of new information and information updates to the system on a regular basis.
Process incoming transmittals into the project, upload them into ALIM with the appropriate metadata following the NR Document Management Procedure and distribute to the agreed distribution list.
Process all engineering documents and adhere to all engineering processes.
Maintain accurate and robust document and configuration management on ALIM for all documentation including change documentation, logs, certificate, reports and meeting minutes.
Quality Assurance Checks on Information uploaded on ALIM
ALIM Training Sessions to ensure project conformance to the NR Document Management Protocols.
Instruct, inform and train new members of the team in the discipline and importance of adhering to document control systems and procedures.
Provide periodic reports for the project team as to the status of information, Quality and delivery as required.
Co ordination of Document Management Systems with 3rd Party systems (ie Client Systems)
Additional exercises as directed by IP ONW SPM or IP PMO Lead subject to variation agreement.
Ensuring that designers are publishing documents in accordance to the protocols and using the agreed distribution matrices.
Distributing drawings and creating DRN’s for review / approval / acceptance, issuing information to the project team and suppliers as per the NR document management procedures.
Ensuring that the agreed issue groups are set up so that suppliers issue all drawings and documents directly.
Control the flow of Suppliers documentation on ALIM, all metadata including project status’ is per the NR Document Management Procedure.
Ensuring all commercial information is stored and issued via ALIM as required by the commercial team, including all security settings required.
Managing RFI’s and TQ’s as per the NR document management protocol.
