I am currently working with a market leading, stable and friendly family run business who are seeking an addition to their small existing business support team.

You will be employed to work in the office support team providing administrative support for all aspects of the business.

To ensure customers have a first class experience when telephoning for sales or support, ensuring their query is dealt with quickly, efficiently and with a satisfactory outcome.

To manage day to day stock input / output ensuring the sales / workshop team have accurate information to work with. To balance cash sales and petty cash daily to assist with monthly account, including contacting customers with overdue amounts.

Key Responsibilities :

CUSTOMER SERVICE : -

  • Ensure all customers enquiries are dealt with in a timely manner, directed to the appropriate department and they are happy with the outcome.
  • Ensure the customers always have a great experience.
  • Maintain up to date and accurate product knowledge
  • Actively listen to and record customer complaints ensuring accurate details are passed to the relevant department for a solution.
  • ACCOUNTS : -

  • Petty cash balance daily.
  • Reconcile counter cash sales and stock daily.
  • Contact customers whose accounts are overdue and in arrears
  • Prepare banking deposits
  • Prepare BACS and cheque payments to suppliers
  • STOCK CONTROL : -

  • Work closely with sales team to ensure accurate stock management
  • Responsible for companies stock control
  • Using the GOLD system, producing inventories and reports as requested
  • Be familiar with supply chain procedures and build lasting relationships with suppliers
  • ADMINISTRATION : -

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Supervise administrative staff and divide responsibilities to ensure performance
  • Manage agendas / travel arrangements / appointments etc. for the upper management
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations / proposals as assigned
  • Assist colleagues whenever necessary
  • REQUIREMENTS : -

  • Proven experience as an Office Manager, Administrator or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organisational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Qualifications in secretarial / admin studies will be an advantage but not essential
