Duties will include

  • Issue monthly planned preventative maintenance work orders to the relevant subcontractor.
  • Booking access to the site with clients as required.
  • Raising purchase orders to sub-contractors for reactive works.
  • Raising purchase orders to sub-contractors for maintenance contracts.
  • Ensuring internal systems are kept up to date.
  • Managing open and late work orders through chasing and escalation.
  • Upload of documentation including service records and certificates from subcontractors to the internal system and client portal.
  • Ensure all remedial works and recommendations are taken from subcontractors or their service records and passed on to the client for authorisation.
  • Ensure all remedial works and recommendations are raised on the system as an associated task where approved.
  • The key point of contact for many subcontractors.
  • Report any scope, change or scheduling issues relating to the PPM plan.
  • Provide reporting and support to internal teams as required.
  • Manage subcontractor performance highlighting any non-conformances as appropriate.
  • Attend and take part in subcontractor performance meetings to discuss performance.
  • Review subcontractor portals to ensure timely updating and submission of all jobs and relevant paperwork.
  • The successful candidate

  • Experience working within building services / facilities management is desirable.
  • Good understanding and experience of Microsoft Office software packages.
  • Experience in coordination or management of subcontractors.
  • Experience in using and configuring CAFM or other management systems.
  • Experience of working to deadlines and effective time management.
  • Knowledge and understanding of property-related issues.
