The Service Spares & Site Access Coordinator is responsible for managing service spares & site access and pass requirements for all product groups in EMEA.

Working with the Spares & Logistics team to load new Spares / Consumable orders for Rapiscan Trace and process intercompany transactions.

Work with third part logistics on order processing. Ensuring all passes are kept up to date and active, managing pass / access renewals to ensure they don’t park or FSE have access issues when arriving at site.

In line with contractual requirements / service requests registered via Rapiscan EMEA’s service helpdesk & coordination team

Responsibilities

  • Load new Spares & Consumable orders into ERP and process through to order completion / invoicing
  • Drive orders through third party logistics tool
  • Work with Service Financial Analyst to forecast on a monthly / quarterly
  • Manage order backlog through the system with Spares & Logistics team
  • Process intercompany purchase orders in line with spares order demand
  • Backup to Customer Service team in Cambridge to cover annual leave / sickness
  • Contracts
  • Raising purchase orders for suppliers
  • Raising Service Orders / Quotes
  • Responsible for managing EMEA service site passes for Field Service Engineers (FSE) when attending for planned or reactive maintenance works for example :
  • Annual passes / Temporary site passes
  • Pass Renewals
  • Visitor access passes
  • Ensuring all FSE passes are on track and all renewals are completed in a timely manner to ensure they don’t expire or become parked
  • Ensuring full confidentiality is kept when managing personal information, restricting access to additional users
  • Working on various databases / systems for access / pass entry and management
  • Preparing and managing all documentation for Rapiscan authorised signatory to sign via paper or online
  • Liaise with Service Coordination & Service Management team to align day to day Field Service activity
  • First point of contact for all site access / pass requirements in EMEA
  • Preparing management reporting as requested.
  • Closing jobs / calls on company database
  • General office duties & supporting management / company initiatives as required

  • Qualifications

  • Strong verbal & written communication skills essential.
  • Excellent organisational skills
  • Computer literate & good experience working with databases
  • Ability to work under pressure to strict deadlines
