Our Construction and Engineering Team is one of the largest in the UK outside of London. The team deals with all aspects of law impacting on the construction industry.
We act for a wide range of public and private sector clients, including professionals, contractors, developers, sub-contractors, owner occupiers and financial institutions.
Our main focus is in the resolution of disputes, but we also have a breadth of experience in the drafting of contracts and the due diligence associated with the funding of commercial developments.
Purpose of job
To work alongside and to provide professional, proactive, high level administration and legal support, working mainly for a single construction fee earner in Norwich but with some wider support required for other fee earners Cambridge and other offices.
Technical ability :
To be expert in a variety of software packages such as Microsoft Word, Excel and PowerPoint to produce correspondence and documents, spreadsheets and presentations and ensure relevant documentation is produced to a high standard to meet Clients’ and Fee Earners’ expectations and deadlines;
To be, or become expert in legal software such as Hi Q, Expert Time Recording and Compare Docs
To format, paginate, number and present documents in Birketts LLP house style;
To proof read all work, checking for spelling and grammar;
To manage marketing data created by the fee earners and liaise with the marketing department;
Co-ordinate and deliver various ad-hoc projects as directed
Produce legal documentation and generally assisting with contentious and non-contentious construction matters
Administrative skills :
Manage diaries of allocated fee earners in Microsoft Outlook to include making appointments, arranging meetings / conferences, sending and responding to invites and booking restaurants;
Process expense claims, payment requisition forms, returned advances;
To accurately maintain and update client and other relevant contact details on the firm’s database;
To process all forms including new client form, new matter form, money laundering form, training course booking forms etc.;
Assist in maintaining compliant and accurate file management and office systems and develop and maintain a good level of understanding of firm policy and process;
To carry out photocopying and scanning as required.
Professional Skills :
To immediately clarify instructions from fee earners should they be unclear or if deadlines are not made explicit;
To respond to internal and external telephone enquiries politely and professionally and take accurate telephone messages(name / number / company), passing them on to the relevant fee earners etc. immediately;
To provide full support to fee earners in the full range of activities that are performed and to carry out any other duties as reasonably requested.
Show initiative when responding to queries and actively try to seek solutions to problems;
To support the construction team when clients are demanding the work product to be delivered;
To support and build working relationships with the construction team and to actively work for the interests of the whole team;
To effectively liaise with staff from other departments and external contacts as required.
Qualifications / Experience
Proven IT / typing skills;
Good / Advanced knowledge of Excel & PowerPoint
Legal experience is required and law degree, LPC or equivalent is welcome but not essential.
Any experience in the construction industry and / or law form is welcome but not essential
Excellent computer / technical skills in particular working knowledge of Microsoft Office suite of software including Outlook, Excel, Word and PowerPoint;
Excellent spelling and punctuation;
Strong written and oral communication skills. Ability to communicate with colleagues at all levels of seniority and liaise effectively with other internal departments and external contacts;
Ability to use discretion;
Positive and enthusiastic approach to team work;
Good telephone manner;
A flexible, highly motivated, proactive and can do’ working style;
Self-motivated, ability to use initiative and provide pro-active support the construction team;
Ability to pay attention to detail and check own work;
