Provide a superior level ofadministrative support to 2 directors primarily
Act asprimary point of contact for the UK team in support of the office Manager basedin France
Providesbasic support to the direct reports of the 2 directors and the UK based team
Organizesand coordinates office activities
Workinternationally in support of the wider Group Security administrative team toorganize complex meetings, events and engagement activities
Act as a gatekeeper of the executives’ time& as primary contact for their stakeholders
Screen calls and determine availability priorities of the executives
Manage executives’ calendar, inbox andcomplex travel arrangements
Oversee the day-to-day management of theadministrative tasks; establish an internal control and accountability process
Provides historical reference by developing andutilizing filing and retrieval systems; recording meeting discussions
Prepare expense reports and track reimbursements
Coordinate seminar schedules and ensure all needed reports and data areprepared and available for review ahead of time
Welcome guests and customers by greeting them,in person or on the telephone; answer or direct inquiries
Workinternationally to support the wider Group Security administrative team inorganizing & delivering complex meetings, events and engagement activities,including public events
Primary point of contact for onboarding of new joiners coordinateequipment orders, welcome new joiners onsite, liaise with local administrativeteam
Coordinateoffice activities & provide support as needed
Communication skills both verbal and written
Proficiency with Microsoft Office (Word, Excel, Powerpoint, Outlook)
Fluent inEnglish (French is a plus)

Administration or Business Degree
Overall work experience in the field
Minimum 6 years’experience as an executive personal assistant.
Experience acting as a liaison between chief executives and othercompany leaders

Ability to work independently and remotelywithin a matrix organization & international setting
