Mission

Description of the Business Line or Department

The Outsourcing & Vendor Management team provides management and assistance to support the implementation and development of the Outsourcing and Sourcing Policy.

Ensuring that the vendor contracts, relationships and performance are developed, managed and controlled effectively and according to regulations.

It assist the business with meeting its objectives, minimizing potential business disruption, avoiding deal and delivery failure, and ensuring more sustainable multisourcing, while driving the most value from vendors.

Summary of the key purposes of the role

The Vendor Manager will assist with developing best practice and excellence for all sourcing, outsourcing and vendor management related topics across the business.

The role will be instrumental to drive increased value from the supply chain and reduce vendor management risk and costs.

The role offers opportunity to build high performance and highly valued vendor management knowledge.

  • Assist individuals and departments to adhere to the relevant supplier management policies, helping to maintain and providing expertise on the sourcing & outsourcing process and procedures.
  • Assist the Outsourcing & Supplier Manager with completing new outsourcing proposals, due diligence requirements, setting review frequency, review format, etc.
  • Coordinate Kleinwort Hambros new sourcing activities with the UK Sourcing team including development of RFPs, vendor selection and negotiation in accordance with industry best practice ensuring that the contractual terms meet the business requirements.
  • Ensure supplier governance is implemented and carried out according to the contractual obligations, best practice and internal policies.
  • Support the Outsourcing & Supplier Manager as required

  • Summary of responsibilities

    Sourcing

  • Coordinate full lifecycle tenders (Requirements gathering, market analysis, RFI / RFP, supplier due diligence, evaluation, contract negotiations) as required.
  • Analyse third party indirect spend identifying cost reduction and supplier consolidation opportunities and drive the execution of cost reduction opportunities.
  • Regulatory

  • Assist Business Units to understand their regulatory compliance responsibilities in relation to outsourced arrangements, identification and remediation of compliance risks (SYSC8, ISAE3402, CASS, RRD etc)
  • Assist the Outsourcing & Supplier Manager to resolve any 3rd party related supplier audit points raised by internal audit, compliance assurance or external audit.
  • Create and maintain management reporting in relation to critical suppliers (Compliance, Performance and Risk)
  • Contract Management

  • Assist with contract change, contract compliance, contract audit and contract risks.
  • Maintain supplier and intercompany outsourcing contracts (and related artefacts) in the central contracts database, ensuring they are readily accessible.
  • Analyse contract data to drive improved visibility of renewals and other key contract milestones
  • Assist in the identification of cost reduction opportunities / supplier consolidation opportunities.
  • Third party governance

  • Work closely with service managers to facilitate vendor service delivery including vendor performance management, conflict and dispute resolution.
  • Perform initial and ongoing supplier due diligence on critical supplier liaising with relevant business units.
  • Create and maintain best practice artefacts for sourcing and vendor governance.
  • Contribute to ongoing development of the sourcing, supplier management and outsourcing policy.
  • Reporting

  • Create and maintain appropriate sourcing / vendor management reporting for senior management including cost reductions vs.
  • target, corporate travel, regulatory compliance, critical vendor performance etc.

    Cooperation with other departments

  • Work closely with all line of business as it relates to Outsourcing, sourcing and supplier management including UK Sourcing, Legal Services, Finance, Operational Risk and Compliance and Information Security.
