To provide a legal secretarial service to fee earners at all levels in our Private Client team based in Bath.Their work includes a full range of non-

contentious Private Client work including tax and succession planning advice, Probate and estate administration, wills and powers of attorney.

To provide wider cover across the office for Private Client team with other Private Client secretaries working as part of a team.

Responsibilities

Provide a full legal secretarial support to include :

  • Audio and copy typing services
  • Pro-active diary management, arranging and prioritising appointments for fee earners
  • Producing letters and documents using the Case Management and IT systems. Formatting documents to house style, proof reading and correcting, ensuring consistent presentation, strong attention to detail
  • Provide a client focused service through telephone calls and emails to clients
  • Manage the filing system. including electronic file management on IT systems
  • Photocopying, setting up and archiving files
  • Assist to coordinate internal and business development events
  • Prepare and complete all necessary forms as delegated by the fee earner
  • Complete transfers, under instructions from a fee earner, of disbursements and monies on client accounts
  • Produce draft bills using account system, time breakdowns and bills as drawn up by the fee earner
  • Monitor daily email, voicemail and post for fee earners
  • Take minutes at meetings and following up on actions
  • Education :

  • A level standard or equivalent, with GCSE English A-C
  • Experience

  • Experience of professional services within the Law
  • Experience within Private Client is desirable
  • Experience of providing successful assistance to senior management
  • Strong organisational skills and time management skills, with the ability to prioritise workload and meet deadlines
  • Proven ability to communicate with a wide range of audiences both orally and in writing. Communicating information in a clear and concise manner.
  • Strong experience of using Microsoft Office to include Outlook, Excel, Word and Powerpoint
  • Proactive and support other team members and fee earners
  • Solutions focused and can undestand when to take action and when to escalate to appropriate person
