Job Purpose :

Executive PA to the Global Head of Engineering & Execution, PA to MACS Chief Operating Officer.

Key Accountabilities :


  • Provide comprehensive EA support to the Head of E&E including but not limited to : Inbox management, flag urgent matters, diary management, proactively plan and coordinate meetings, maintain a conflict free diary as much as possible, organise and coordinate ad hoc events and / or training as required, coordination of logistics for team events.
  • Insure that Head of E&E is well prepared for meetings and committees by collecting and / or preparing reports / documents and maintaining SharePoint site and other tools up to date.
  • Insure and document appropriately that Head of E&E meets and respects all internal compliance policies and requirements (STAR COMPLIANCE) as well as all regulatory requirements for training and his oversight (CF29)
  • Assist the Head of E&E with strengthening communication with his direct reports and within / between his teams.
  • Support and participate in the growth and success of the Head of E&E’s teams by keeping abreast of general business objectives, policies, standards, tracking and driving completion of key deliverables and follow up on outstanding action items, providing support to designated senior managers with coordination, document (PowerPoints, Business Plans, Reports etc) preparation, coordinating conferences and logistics and other ad-hoc tasks
  • When possible, anticipate problems, create contingency plans, manage multiple priorities, problem solving and organizing logistics
  • Maintain high professional standards and a very high level of discretion when dealing with sensitive matters
  • Manage all travel arrangement (TRAVELDOO) for the Head of E&E within AXA Travel Policy.
  • Prepare expense claims (CONCUR) and insure invoices are paid (ARIBA)

  • Provide comprehensive PA support to the MACS COO. This includes Ad Hoc diary management, travel planning, expense claims, invoices and document / presentation support.
  • Assist MACS COO with MACS UK and UK governance matters such as Secretary to the Best Execution Committee (BECom) and coordination of the quarterly Irish Funds Boards meetings.
  • Subject to capacity, cover for other PAs in London and Paris and cover other Senior staff on an ad hoc basis.
  • Support other governance needs of MACS UK as necessary.

  • Excellent communication skills in English & French is a must (must be fluent oral & written)
  • Previous experience in a Multinational financial services firm (preferably asset management)
  • Excellent PowerPoint & Excel skills
  • Extensive experience of dealing with board level contacts
  • Strong interpersonal skills with an ability to work autonomously, with little guidance to meet tight deadlines
  • Additional skills / experience that would be preferable

  • Working within a multi-cultural and multi-national team in a fast paced environment
  • Experience of living abroad or significant independent travel
  • Good understanding of regulatory environment for AXA IM and AXA clients
