The Lubrication Science and Component Delivery Groups Team Administrator will be an integrated member of both groups and provide secretarial and administrative support to both leaders and their teams of approximately 60 colleagues.

Key Outputs : What we can expect from you

Science Base Knowledge Advantageous :

  • Provide support to enable effective outsourcing of synthesis activities
  • Prepare Chemical synthesis and Analytical Work Orders
  • Monitor contracts with 3rd parties for example uploading documents to SharePoint and ELN, keeping track of purchase orders, sending reminders and maintaining documents folder
  • Update website with 3rd party public information / capabilities
  • Support with shipping of raw materials
  • Support with process spreadsheets and surveys and collation of synthesis delivery & delays for monthly reports
  • Maintain documentation to support Infineum Quality & Safety Processes.
  • Provide support on chemical databases
  • Provide support at various safety meeting to capture actions and delivery dates
  • Provide support to scientific team
  • Manage Low Value Purchase card accounts
  • Key focal point for procurement buying channels
  • Use SAP for raising purchase requisitions
  • Provide support for new starters & refresher training
  • Maintain Lubrication Science and Component Delivery SharePoint sites
  • Administrator of Technical Learning Management System for the two groups
  • Other Administration :

  • Organise team events as required coordinating all logistics
  • Organise & setting up internal and external meetings
  • Organise travel arrangements
  • Maintain sickness / holiday records
  • Provide seamless cover for other TAs during periods of absence
  • Additional responsibilities as assigned

  • A successful candidate is likely to have :

  • Proven administrative and secretarial skills, ideally with experience of a scientific environment
  • Excellent communication and interpersonal skills
  • Ability to prioritise multiple work requests
  • Demonstrated track record of delivery to short timescales whilst maintaining accuracy
  • Proactive, enthusiastic, motivated to develop and progress administrative capabilities
  • Computer literacy and full competence in using Microsoft Excel, Word, PowerPoint and Internet Explorer. Experience with SharePoint, SAP, IRIS, Microsoft Access, Microsoft Outlook and Microsoft Front Page is desirable but not essential
